Crown Office and Procurator Fiscal Service |
The National Archives of Scotland (NAS) is responsible
for the older records of the Crown Office and the Procurator Fiscal Service (COPFS).
Court and Legal Records Branch (CLRB) are responsible for the transmission and
cataloguing of these records.
Crown OfficeCLRB accepts annual
transmissions of Crown Office records after they are 10 years old with the exception
of files on policy or legislation files and establishment records, which are dealt
with by the Government Records Branch. CLRB accepts records such as precognitions
and criminal appeals and seek to receive them in December of each year. Crown
Office staff must prepare the material in accordance with the COPFS schedule,
ensuring that records are boxed, using boxes which meet the NAS
box specification or else have been approved by NAS Conservation Services
Branch. The boxes should be labelled, easily accessible and ready for uplift by
NAS staff. Prior to the transmission of any records to the NAS, the
Crown Office record keeper should complete the relevant transmission
form - Acrobat PDF 25KB, new window describing the quantities, format and
appropriate metreage or shelf space of the records being transmitted.
Appropriate finding aids, preferably in an electronic form, must accompany each
annual transmission. Procurator Fiscal ServiceThe NAS does not
receive records directly from the Procurator Fiscal Service. Arrangements for
transmissions must be made via the Crown Office in accordance with the COPFS schedule.
