Box specification

The National Archives of Scotland (NAS) has a specification for archival boxes, which it uses for storing records. This specification is recommended for use by government departments, courts and other bodies which deposit records in the NAS and can be used by private owners of records, but it is not a national 'standard' for archive boxes.

Specification

• Wire-stitched box made to specified standards, from 1900 micron double kraft lined container board (pH 6.5-8).
• Full depth hinged lid, angled at back and thumb-cut.
• Fall front.
• White label and web-pull, one end.
• Fitted shaped inner liner.
• Internal dimensions: 15 ½ x 11 x 4 ½" [7 boxes = 1 metre shelf].

Storing records

• Avoid leaving boxes half empty, which can damage records and wastes valuable storage space.
• Do not overfill boxes – this usually damages the records and the boxes, and makes them unsafe to handle.
• Remove duplicate copies of any papers to maximise use of box space.
• Remove plastic file pockets, lever-arch files, folders and box files. As an alternative use card wallets or unbleached archive tape. This will permit you to re-use files etc, and help minimise the space the records occupy in our storage – and yours.
• Remove all elastic bands as these decay and can damage records.
